Parked Funds provides two pathways for handling post-rental issues, giving you flexibility based on the situation:

Pathway 1: Incidents (Pre-Charge Cases)

Use incidents when you want to gather information from the customer before deciding on a charge. This is ideal for situations where you need context or aren't sure if a charge is warranted.

  1. Create an incident: After a rental ends, you create an incident in Parked Funds. Enter a customer-facing question (e.g., "We noticed a broken zip on the tent. Can you tell us what happened?"), add internal notes, and optionally upload evidence photos.
  2. Request customer response: If the booking has a customer email, you can request their explanation. Parked Funds sends an email with a secure link where customers can respond and upload their own photos.
  3. Review customer response: You review the customer's explanation and any evidence they provided. This gives you their side of the story before making a decision.
  4. Make a decision: Based on their response, you can either:
    • Close the incident (no charge): If their explanation is satisfactory or the issue doesn't warrant a charge
    • Convert to a charge: If a charge is needed, convert the incident to a post-hire charge. The charge form is pre-filled with incident details, and you can adjust the amount and description before sending.

Why use incidents? Starting with an incident reduces disputes by collecting the customer's side of the story first. Many issues can be resolved without a charge, and when a charge is needed, customers are more likely to accept it if they've already provided their explanation.

Pathway 2: Direct Post-Hire Charges

Use direct charges when you're confident about the charge amount and reason. This is ideal for clear damage with known repair costs, parking tickets, or other charges where the amount is certain.

  1. Create the charge: After a rental ends, you create a post-hire charge in Parked Funds. Enter the amount, select a reason code (damage, cleaning, tolls, etc.), and add notes explaining the charge.
  2. Link to booking: The charge is linked to the booking reference, so everything stays organized. You can see the full rental history in one place.
  3. Send review email: Parked Funds sends a review email to the customer with a secure link. The customer sees the charge details, booking reference, and can review before approving.
  4. Customer reviews and approves: The customer clicks the link, sees the charge breakdown, and can approve and pay or dispute the charge.
  5. Payment is processed: If approved, payment is attempted using the customer's saved payment method. If Strong Customer Authentication (SCA/3DS) is required, the customer completes it on the same page.
  6. Everything is logged: All actions are timestamped and logged: when the email was sent, when the customer viewed the page, when they approved, and when payment was attempted. This creates a clear audit trail for disputes.

If a customer disputes a charge, they can submit a dispute directly through the review page. They select a reason, provide details, and upload evidence files (photos, PDFs). You'll receive a notification and can review the dispute with all the evidence in one place.
